Job Description

JOB PURPOSE

To support and execute key HR operational functions, mainly in recruitment & onboarding, payroll administration, compensation management, and performance appraisal. Ensures HR processes are timely, accurate, compliant, and aligned with company policies and statutory requirements.

KEY RESPONSIBILITIES

Recruitment & Onboarding
– Manage end-to-end recruitment process: job posting, shortlisting, interview scheduling, reference checks, and offer issuance.
– Collaborate with hiring managers to identify manpower requirements and update the annual manpower plan.
– Coordinate onboarding activities: orientation schedule, welcome kit, HR briefing, and system registration.
– Maintain candidate database and recruitment analytics (time-to-fill, cost-per-hire, turnover rate).
– Ensure smooth handover from recruitment to HRIS / payroll setup.

Compensation & Benefits (C&B)
– Administer employee benefits such as medical, insurance, allowances, and incentives
– Support HR Manager in annual salary benchmarking, increment exercises, and bonus computation.
– Monitor and ensure accuracy of employee benefits records in HRIS.
– Review and recommend improvement of compensation policies for competitiveness and fairness.
– Prepare monthly/quarterly HR analytics on headcount, payroll cost, and overtime trends.

Payroll Administration
– Review and verify monthly payroll accurately and on time, including allowances, overtime, deductions, commissions, and statutory contributions (EPF, SOCSO, EIS, PCB).
– Review and verify all payroll inputs such as attendance, leave, and claims before submission to HR Manager for approval.
– Liaise with Finance for salary disbursement and statutory payment schedules.
– Maintain confidentiality and ensure payroll compliance with Employment Act and company policies.
– Handle payroll audit queries and provide accurate payroll reports when required.

Performance Appraisal & Talent Review
– Coordinate and monitor the annual performance appraisal process, ensuring timely submission by all departments.
– Assist HR Manager in consolidating performance ratings and identifying high-potential employees.
– Prepare performance reports and assist in calibration sessions with management.
– Ensure appraisal data is documented properly and reflected in promotion/increment exercises.
– Support training needs analysis (TNA) based on appraisal outcomes.

General HR Support
– Provide guidance to employees and supervisors on HR policies and procedures.
– Support HR Manager in disciplinary cases, grievances, and investigations (as needed).
– Ensure all employee data is accurate and up-to-date in HRIS / personal files.
– Participate in HR projects such as employee engagement programs, ISO audits, or HRDF claims.

 

QUALIFICATIONS

– Degree / Diploma in Human Resource Management, Business Administration, or related field.
– Minimum 4- 5 years working experience in HR operations, with at least 3 years in payroll and recruitment.
– Experience in handling performance appraisal cycles or compensation review exercises is an advantage.
– Proficiency in Microsoft Excel and HR systems is required
